Maybe Gmail placement is down. Maybe Microsoft is rejecting mail. Maybe your open rates fell off a cliff and took your quarterly confidence with them. Whatever the symptom, something is clearly wrong, and you need an answer. Now.

So you do what almost every sender does next: you paste your IP or domain into a blocklist lookup tool.

And there it is: red text, warning icons, maybe several of them stacked ominously like a to-do list of doom.

You are listed.

Aha. Mystery solved.

Except, you know, not really.

One of the most common mistakes senders make is assuming that a blocklist listing caused their deliverability problem, when very often, it’s the other way around. The listing may be a symptom, but it’s not a diagnosis. And when you treat them as the same thing, you end up wasting precious time chasing the wrong fix.

The symptom isn’t the problem

When I was younger, broke, and living in Atlanta, renewing my vehicle registration was extremely low on my list of budgetary priorities. I drove my ’97 Golf around with a glowing check engine light and expired tags until I finally got ticketed and had to reckon with the entire gauntlet of tasks required to secure a valid tag.

Task one: pass an emissions test. Difficulty level: EXTREME, because my car and I had very different feelings about passing emissions tests. Every day I’d stare at that beacon on my dash, wondering how hard it would be to just…turn the light off. Logically, it made a sort of sense, right? If the light was on, I’d fail. Fix the light, pass the test! Except that’s not how emissions testing works. Georgia doesn’t care whether your dashboard is clear. They test what’s actually coming out of the tailpipe, which means you can clear every warning light in the car and still fail if the underlying problem hasn’t been fixed.

Deliverability works a lot like that. (Stick with me here, we’re going for a ride.)

When senders discover they’re on a blocklist, they often assume the listing caused their problem. But in many cases, the listing is closer to a failed emissions test than a root cause; something that made an existing problem official, not something that created it. Maybe complaint rates increased. Maybe spam traps were hit. Maybe it’s DNS (it’s always DNS). Whatever the issue, the underlying problem was already affecting your reputation before you ever pasted your IP into a lookup tool.

The relationship is often circular, too. Bad sending practices hurt your reputation. Reputation damage contributes to a listing. The listing can make delivery even worse. By the time you’re staring at the blocklist result, you’re looking at smoke, but you still haven’t contained the fire.

What even is a blocklist?

A blocklist is, at its core, just a list of IP addresses or domains that someone believes should be treated with suspicion. That’s it. There is no governing body, no international certification process, no Deliverability Supreme Court handing down rulings from a mahogany bench.

If you were motivated enough, you could create your own blocklist this afternoon instead of folding laundry or having a little snack. You’d need a domain, some DNS records, and strong opinions about email. Congratulations: you are now a blocklist operator. But now you still have to fold that laundry, and you’re getting hangry.

That doesn’t mean all blocklists are useless. Some are widely respected and actively referenced by mailbox providers, spam filters, and security systems. Others have little or no measurable impact on delivery. The problem is that blocklist lookup tools rarely explain any of this. They don’t tell you who uses the list, how influential it is, or whether it has any measurable impact on your mail.

They just say LISTED and leave you spiraling.

It’s like pulling into a mechanic’s bay and having multiple coverall-clad people assess your engine at once. One points out that your wiper fluid is low. Another points at the smoke billowing out from the hood. Both observations may be accurate. Only one of those explains why you’re stalled out, though.

We hold these truths to be self-evident: Not all blocklists are created equal

Some blocklists are the equivalent of failing your state emissions inspection; major filtering systems pay attention, mail may be rejected, and deliverability can suffer immediately. A Spamhaus listing that a provider is actively referencing needs to be investigated. Others are more like the oil-life monitor on my husband’s Honda Pilot, which he services himself and therefore never resets: the warning exists, it’s just not saying anything particularly useful.

Some blocklists list huge portions of shared infrastructure by design. Some use criteria you can’t realistically control. Some are effectively one guy standing at his mailbox, shaking his fist at passing traffic. A Spamhaus listing and an obscure hit on a generic lookup tool may look identical on your screen, but they’re miles apart in terms of real-world impact.

The important question isn’t «Am I listed?» It’s «Who uses this list?», followed immediately by, “and do I even care?»

When a listing genuinely matters, delisting is the final step, not the first. Fixing my car didn’t automatically update the state’s records, sadly. I still had to pass inspection and prove the issue was resolved. Spamhaus works the same way: They care a lot less about the dashboard warning than they do about what’s actually coming out of your pipes.

Sometimes the warning light is just…there

One uncomfortable truth: not every listing is solvable, and not every listing needs to be solved. Some blocklists intentionally list large portions of shared infrastructure. Some have no meaningful delisting process. Some are consulted by so few receivers that removing the listing would have no measurable impact on your program. If you’re sending through a major ESP, you will occasionally find yourself listed somewhere simply because a blocklist operator has strong feelings about email marketing, cloud infrastructure, or perhaps life in general.

You can fix the engine, repair the leak, and pass inspection, and the dashboard light may still need to be cleared manually. Anyone who has ever owned a car built before 1997 just felt that in their lower back.

How do you end up blocklisted?

The same way you end up with a flat tire: there are a lot of potential reasons, and most of them boil down to the same thing. Different blocklists use different criteria. Some focus on spam trap hits, others look for malware or phishing, some track complaint patterns, some flag technical misconfigurations like open relays or suspicious DNS. A sender listed for hitting recycled spam traps has a very different problem than a sender listed for malware activity, and a compromised web server requires a different fix than an aging marketing database.

The listing tells you something is wrong. The reason for the listing tells you where to focus.

When should you actually care about being blocklisted?

If a mailbox provider is rejecting your mail because of a blocklist, they will usually say so. The bounce message may reference the blocklist name, a remediation URL, or a reason code tied to the listing. When that happens, investigate.

When that doesn’t happen, a listing alone shouldn’t automatically become the main suspect. There’s a meaningful gulf between finding a listing and proving it’s affecting your mail. Senders who go looking for an explanation and find an obscure blocklisting often treat it as the smoking engine, but correlation isn’t causation, and a listing that no relevant mailbox provider consults may have zero impact on your deliverability.

If you’re on shared infrastructure, ask whether the provider actually rejecting your mail uses that blocklist before assuming you’ve found the culprit. If you’re on a dedicated IP, the timeline is probably backwards from what you think: not «I got listed, then delivery got worse,» but «mail quality deteriorated, reputation declined, delivery suffered, and then a blocklist made it official.» Removing the listing without fixing the behavior that triggered it is like clearing the “check engine” light at Auto Zone while skipping a trip to an actual mechanic; the indicator disappears temporarily, but the underlying issue is only worsening.

Use the data, but don’t outsource the diagnosis

Tools can help, as long as you understand what they can and can’t do. Mailgun can surface delivery signals, bounce patterns, authentication failures, and reputation indicators, but no platform can replace the uncomfortable internal questions: where did these recipients come from, did they voluntarily ask for this mail, and are they still acting like they want it?

A tool can tell you your complaint rate is too high, but it can’t tell you why your audience is annoyed. You can quickly see that engagement is declining, but not that it’s because you should stop mailing subscribers who haven’t clicked since the days detachable car stereos were cool. A tool can show you that a domain or IP is listed, it just can’t determine whether your signup form is getting hammered by bots, or whether your «reactivation campaign» is the email equivalent of flooring a car that’s already making a weird noise.

Definitely do use the tools! Just don’t stop there.

What to actually investigate

Before you submit a delisting request, look at your own logs first. The most useful signals are usually right there: which providers are affected, what the bounce messages actually say, whether engagement rates have moved, whether acquisition or frequency changed recently, whether authentication is intact. Most major mailbox providers have so much reputation data of their own that they don’t need to consult a third-party blocklist to make filtering decisions, which means the answers to your problem are more likely to live in your sending history than in a lookup tool.

The fix is usually boring

The solutions that genuinely improve deliverability are comfortingly consistent: get permission before sending, secure your signup forms, use double opt-in, remove inactive subscribers, honor unsubscribes quickly, monitor complaint rates, authenticate correctly, maintain consistent sending patterns, and send things people actually expect to receive.

None of this is glamorous, and none of it feels as meaningful as submitting a delisting request. Nobody wants to tell their boss «good news, we’re the problem.» But sometimes that’s the job. Blocklists and mailbox providers react to the same underlying signals: improve the signals, and a lot of the downstream symptoms improve too, listings included. If you’re hitting spam traps, nobody is prescribing a magical DNS record. If you’re generating complaints, the answer isn’t a new authentication protocol. The uncomfortable reality is that most modern deliverability problems aren’t infrastructure problems at all. They’re just regular ol’ data-quality problems.

The real question

Finding a listing gives you something concrete to point at, and sometimes that explanation is correct. Most of the time, though, the listing is just evidence that something else went wrong first.

So the question worth asking isn’t «how do I clear this ugly warning?» It’s «what happened that made this thing light up in the first place?»

That’s a much less satisfying answer, but it’s also the one that gets you back into the flow of traffic.

                    Keep me posted!
