Microsoft is stepping up to the plate. In its April 2, blog, Microsoft announced new requirements for high-volume senders reaching Outlook.com, Hotmail.com, and Live.com addresses.<\/p>\n\n<p class=\"wp-block-paragraph\">If you\u2019re sending more than 5,000 messages a day to Microsoft consumer domains, keep reading. The good news, if you\u2019re already compliant with the Gmail\/Yahoo standards you\u2019re set. Here&rsquo;s what you need to have in place:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/www.mailgun.com\/blog\/deliverability\/spf-records-basics\/\" target=\"_tabs\" rel=\"noopener noreferrer\"><b>SPF (Sender Policy Framework):<\/b><\/a> Your domain must pass SPF checks. That means your DNS records need to clearly define who\u2019s allowed to send mail on your behalf.<\/li>\n\n\n\n<li><a href=\"https:\/\/www.mailgun.com\/fr\/blog\/deliverability\/comprendre-dkim-fonctionnement\/\" target=\"_tabs\" rel=\"noopener noreferrer\"><b>DKIM (DomainKeys Identified Mail):<\/b><\/a> DKIM is required to verify message integrity. Microsoft will expect signed messages that confirm the sender is who they say they are.<\/li>\n\n\n\n<li><a href=\"https:\/\/www.mailgun.com\/fr\/blog\/deliverability\/implementer-dmarc\/\" target=\"_tabs\" rel=\"noopener noreferrer\"><b>DMARC (Domain-based Message Authentication, Reporting, and Conformance):<\/b><\/a><b> <\/b>A valid DMARC policy is now a must. At minimum, you need a policy <a href=\"https:\/\/www.mailgun.com\/fr\/blog\/deliverability\/dmarc-conseils-de-dmarcian\/\" target=\"_tabs\" rel=\"noopener noreferrer\">of <b>p=none<\/b><\/a>, and it must align with SPF or DKIM\u2014ideally both.<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">Messages that don\u2019t meet these requirements? They\u2019ll be routed to the Junk folder at first, and if left unaddressed, will eventually be blocked outright.<\/p>\n    <div data-content-type=\"longform\"  class=\"callout text-body-color px-5 py-6 px-md-6 px-lg-7 py-md-7 longform-spacings rounded-lg bg-light\" data-theme=\"light\">\r\n\r\n        <div class=\"content-body\"> Sinch Mailgun has introduced free DMARC reporting for all Mailgun senders on a paid plan through a new collaboration with <a href=\"https:\/\/redsift.com\/\">Red Sift<\/a>. This enhancement gives Mailgun users greater visibility into email authentication results.<\/div>\r\n    <\/div>\r\n\n<h2 class=\"wp-block-heading\">What else should senders be doing?<\/h2>\n\n<p class=\"wp-block-paragraph\">Microsoft is also calling on senders to follow a few critical best practices for \u201cquality and trust.\u201d These guidelines support deliverability and help protect recipients.<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Use real, reply-capable \u201cFrom\u201d or \u201cReply-To\u201d addresses.<\/li>\n\n\n\n<li>Include a visible, functional unsubscribe link\u2014especially in bulk or marketing emails.<\/li>\n\n\n\n<li>Keep your list clean. Regularly remove invalid contacts and monitor bounce rates.<\/li>\n\n\n\n<li>Be upfront in your subject lines and headers. Deceptive content won\u2019t help anyone.<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">Microsoft has made it clear: if you don\u2019t follow these practices<b> (Microsoft specifically called out authentication and <\/b><a href=\"https:\/\/www.mailgun.com\/fr\/blog\/deliverability\/importance-nettoyage-liste-contacts\/\" target=\"_tabs\" rel=\"noopener noreferrer\"><b>list hygiene<\/b><\/a><b>) <\/b>and deliverability issues persist, your messages could be filtered or blocked\u2014no formal requirement needed.<\/p>\n\n<h2 class=\"wp-block-heading\">What about one-click unsubscribe (RFC 8058)?<\/h2>\n\n<p class=\"wp-block-paragraph\">Unlike Gmail and Yahoo, Microsoft hasn\u2019t explicitly required support for <a href=\"https:\/\/www.mailgun.com\/fr\/blog\/deliverability\/qu-est-ce-que-la-rfc-8058\/\" target=\"_tabs\" rel=\"noopener noreferrer\">RFC 8058<\/a> or one-click unsubscribe. That said, providing a simple opt-out experience is required with \u201cfunctional unsubscribe links\u201d that are clear and visible.<\/p>\n\n<h2 class=\"wp-block-heading\">Timeline and enforcement<\/h2>\n\n<p class=\"wp-block-paragraph\">Here\u2019s how things will roll out:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><b>Now:<\/b> Audit your SPF, DKIM, and DMARC records. Make sure they\u2019re aligned and functioning properly.<\/li>\n\n\n\n<li><b>May 5, 2025\u00a0<\/b> Messages will be rejected that don&rsquo;t pass the required authentication requirements detailed above (SPF, DKIM, DMARC). The rejected messages will be designated as \u00ab\u00a0550; 5.7.515 Access denied, sending domain [SendingDomain] does <b>not<\/b> meet the required authentication level.\u00a0\u00bb\u00a0(Updated May 1, 2025)\u00a0<\/li>\n\n\n\n<li><b>Later (date TBD):<\/b> Expect full rejections for senders who remain non-compliant.<\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\">Why do these industry requirements matter?<\/h2>\n\n<p class=\"wp-block-paragraph\">Gmail and Yahoo kicked it off, but we knew then that inbox standards were going to become more universally strict. And that actually benefits senders as well. I remember talking about these changes 10 years ago with a group and we said \u2018no auth, no entry\u2019, that is what we should be working towards because it makes a ton of sense being able to identify who is sending an email. It helps us assign your reputation to your identity. Email volume keeps increasing and there is a lot of noise and a lot of bad actors piggybacking on sender\u2019s good reputations.
