Autoresponder

An autoresponder is an automated reply sent when an email is received, commonly used for out-of-office notices, transactional confirmations, or high-volume inbox triage. For brands, autoresponders are an easy way to acknowledge user actions (like placing an order or submitting a support request) without manual effort. 

Autoresponders are also a strategic solution for meeting reply-handling requirements from inbox providers like Microsoft. As of 2025, Microsoft recommends that sending addresses be able to receive replies – so even if you don’t plan to monitor that inbox closely, a simple autoresponder can confirm receipt and direct users to the appropriate next step. 

Examples include: 

  • “Thanks for your message! Our team will respond within 24 hours.” 
  • “This is a transactional address, but we’ve received your message and logged it.” 
  • “Your order is confirmed – stay tuned for shipping updates!” 

Autoresponders improve customer experience, reduce uncertainty, and help senders maintain trust without opening the floodgates on direct replies.
