Gmail Reputation Data Is Dead. Now What? 

Gmail's Domain and IP Reputation scores are officially gone from Postmaster Tools, leaving senders without their old High/Medium/Low/Bad cheat sheet. Here's how to troubleshoot Gmail deliverability using the evidence you already have.

How to troubleshoot Gmail deliverability without a reputation score 

Nearly a year after Google announced that it would retire the original Postmaster Tools interface, the deed appears to be done. The link to the old interface has stopped working, users have reported errors from the v1 API, and Gmail’s familiar Domain and IP Reputation charts have finally disappeared. 

For real this time. 

Those charts assigned senders a reassuringly simple rating: High, Medium, Low, or Bad. They were broad, slow-moving, and easy to misinterpret, but they did at least answer an irresistible question: 

What does Gmail think of me? 

Now the mood ring is gone. Gmail is still evaluating your reputation; it simply isn’t giving you a color-coded summary of the relationship. 

That may feel like losing visibility, especially when something goes wrong. But reputation was never the root cause of your deliverability problem. It was a delayed reflection of what had already happened: recipients complained, stopped engaging, or received mail Gmail considered suspicious, or your authentication, infrastructure, or sending patterns gave Gmail reason to be cautious. 

So, what do you do when Gmail performance drops and there’s no reputation score to consult? 

You investigate the evidence you already have. And yes, you still have plenty.

What changed between Postmaster Tools v1 and v2? 

Most of the original Postmaster Tools data has survived the move to v2. The major casualties are the Domain and IP Reputation dashboards and their High, Medium, Low, and Bad ratings.

The new Compliance Status dashboard shows whether your mail meets Gmail’s sender requirements, including authentication, alignment, encryption, DNS, reported spam rate, and unsubscribe requirements. 

Google has also introduced Deliverability Analysis, a diagnostic tool within the Compliance Status dashboard. Instead of giving your domain a color and leaving you to interpret what it materially means, the tool can surface conclusions such as: 

  • Your messages are failing to deliver. 
  • Your spam rate exceeds Google’s recommended threshold. 
  • Recipients aren’t opening or interacting with your mail. 
  • Recipients appear to want more of your messages. 
  • Your mail doesn’t meet Gmail’s sender requirements. 
  • There isn’t enough volume to make a determination. 

That’s potentially more useful than a reputation tier, but it still isn’t a complete diagnosis. “Users don’t take action,” for example, tells you what Gmail sees. It doesn’t tell you why. That part still belongs to you. 

Here’s what each verdict actually gives you, and where your investigation begins.

Not enough outgoing email Google doesn’t have enough data to render a verdict. Don’t manufacture volume for the dashboard’s benefit. Continue normal sending and use your own event data. 
Many messages have delivery errors Gmail is seeing an elevated rate of temporary failures or rejections. Review SMTP responses, timing, volume changes, infrastructure, and whether the problem affects every stream. 
Sender does not meet requirements At least one Gmail sender requirement isn’t being met. Use Compliance Status to identify the specific failure: authentication, DNS, TLS, unsubscribe, formatting, or spam rate. 
Spam rate is above 0.1% Inbox-delivered messages are generating complaints above Gmail’s recommended threshold. Use feedback loop (FBL) identifiers and compare campaigns, audiences, acquisition sources, and frequency. 
Users do not want your messages Gmail is observing strong negative recipient signals. Examine permission, expectations, frequency, recent audience additions, and cross-stream suppression. 
Users don’t take action on messages Gmail isn’t seeing strong positive or negative action. Determine whether recipients are ignoring inboxed mail, mail is already reaching spam, or your measurement/audience has changed. 
Users signal they want your messages Gmail is observing positive recipient signals. Compare this traffic with weaker segments and resist celebrating by blasting everybody. 

First: confirm that you have a Gmail problem 

Before diagnosing your reputation, establish what actually changed. 

Are messages being rejected or deferred? Are they being accepted but landing in spam? Is your marketing mail landing in the Promotions tab? (Trick question! That’s where it belongs.) Has measured engagement declined? Is the problem affecting all Gmail recipients, or only one campaign, stream, domain, IP, or audience segment? 

Start with three questions: 

  1. What changed? 
  1. When did it change? 
  1. Who or what was affected? 

Compare the first date of the decline with changes in: 

  • Sending volume or cadence 
  • Audience source or segmentation 
  • Campaign content or purpose 
  • Sending domain or IP 
  • Authentication or DNS 
  • ESP configuration 
  • Suppression logic 
  • Unsubscribe processing 
  • The number of messages sent to each recipient 
  • The mixture of transactional and marketing traffic 

If Gmail engagement fell immediately after you added an older audience segment, that is way more useful than knowing your reputation eventually changed from High to Low. If deferrals began after a dramatic volume increase, investigate the increase, not the color spectrum. 

Start with the evidence closest to you 

Your own event data is usually faster and more granular than a mailbox provider’s dashboard. 

Look at Gmail performance separately from your overall program and compare: 

  • Accepted, deferred, and rejected mail 
  • SMTP response codes and messages 
  • Spam complaints (if using their Feedback Loop) 
  • Opens, clicks, replies, and conversions 
  • Unsubscribes 
  • Volume and frequency 
  • Performance by campaign, segment, domain, IP, and sending stream 
  • Recent changes relative to a stable control group 

The goal is not to stare down every available metric until one confesses. You’re just trying to home in on the underlying problem. 

If only one campaign declined, investigate that campaign and its audience. If engagement declined across every Gmail stream at the same time, broaden the investigation. If Gmail performance remained stable while another provider declined, you probably do not have a Gmail problem at all. Yay! Sort of! 

Understand what Gmail complaints can and cannot tell you 

Gmail does not provide traditional individual complaint reports containing the recipient’s address. Its Postmaster Tools spam rate reporting is aggregated, and Gmail’s Feedback Loop (FBL) uses identifiers you’ve added to your message headers to help identify campaigns or traffic categories associated with elevated complaints. 

Even with the Feedback Loop configured, you will not receive a comprehensive accounting of every person who clicked “Report spam.” Data only appears when Gmail’s reporting thresholds are met, and the recipient remains anonymous. 

That creates an awkward operational problem: the person who complained will remain on your mailing list unless they also unsubscribe themselves. 

Once someone has marked a message as spam, Gmail typically places future messages from that sender in the user’s spam folder. Those messages are then less likely to produce either human engagement or machine-generated engagement signals. 

So when Gmail says that users “don’t take action,” several realities may be hiding underneath: 

  • Recipients received the mail in their inbox and ignored it. 
  • Recipients previously complained and future mail is now going to spam. 
  • Gmail is filtering the mail because of a broader reputation problem, even for recipients who might still want it. 
  • The audience’s interest has naturally declined. 
  • Your measurement changed even if recipient behavior did not. 

This is why “no engagement” is a signal to investigate, not an automatic instruction to suppress every recipient immediately. 

Decide how much risk you’re willing to shoulder 

If recipients used to engage and now do not, you have options. 

You might send a carefully designed re-engagement message with a genuinely worthwhile offer. You might ask recipients to reconfirm that they still want the subscription, then suppress or sharply reduce frequency for anyone who does not respond. You might use another channel such as an in-app message, SMS, or push notification, to ask recipients to update their email address or subscription preferences. 

Each additional email carries some risk, particularly if previous messages are already reaching spam. Continuing to send unwanted or unseen mail does not create engagement through persistence; it can reinforce the negative pattern you are trying to escape. 

This is also where confirmed opt-in earns its keep. Confirmation establishes that the recipient controlled the address, completed the subscription intentionally, and expressed enough interest to take an additional step. 

Confirmed opt-in cannot guarantee lifelong enthusiasm, of course. People change interests, abandon inboxes, and forget what they joined and why. But it removes a great deal of uncertainty at the beginning of the relationship and makes later engagement decisions easier to interpret. 

You’ll still need a sensible sunset strategy. You’ll just begin with much stronger evidence that the relationship was real. 

Remember that subscribers experience your brand, not your infrastructure diagram 

A recipient does not necessarily understand that your promotional mail, product notifications, account alerts, and newsletters come from different sending domains or IPs. 

They only know that they told you to stop. 

If someone unsubscribes from or reports one stream and then receives another message from a different domain, the technical distinction may not matter to them. Their reaction may be: 

Didn’t I just say no? 

Review suppression, preference, segmentation, and frequency decisions across your entire brand, not only within a single sending domain. Stream separation can protect important mail from problems elsewhere in the program, but it should not become a way to route around a recipient’s clearly expressed preference. 

Use Postmaster Tools v2 as a diagnostic tool 

Once you understand what is happening in your own data, use Postmaster Tools to add Gmail’s perspective. 

Compliance status 

Check whether Gmail identifies problems with authentication, alignment, DNS, encryption, message formatting, spam rate, one-click unsubscribe, or unsubscribe processing. 

Compliance will not guarantee inbox placement. It does help you rule out foundational technical problems before investigating more complicated causes. 

Deliverability analysis 

Treat Gmail’s verdict as a clue, not a complete root-cause analysis. 

If Gmail reports that recipients do not take action, compare engagement by campaign, audience age, source, and frequency. If Gmail reports delivery failures, examine the Delivery Errors dashboard and your SMTP responses. If Gmail reports that users want your messages, identify what distinguishes that successful traffic from weaker segments. 

Spam rate 

Watch trends rather than relying on a single day. 

A low or zero Gmail spam rate is not always good news. Gmail’s reported rate reflects complaints from mail delivered to the inbox. If much of your mail is already going to spam, fewer recipients will see it in the inbox and have the opportunity to report it. 

The result can be a lovely complaint rate attached to a very unhappy mail program. 

Feedback loop (FBL) 

Use Gmail’s FBL identifiers to determine which campaigns or traffic categories are associated with complaint spikes. It will not identify individual complainants, but it can help you find patterns such as a problematic acquisition source, message type, frequency, or campaign. 

Authentication and delivery errors 

Look for sudden changes, partial failures, and differences between sending streams. Averages can conceal a broken configuration affecting only one domain, provider, or portion of your traffic. 

Don’t replace one mood ring with another 

When a familiar score disappears, the natural response is to find a new one. Resist that impulse.

Seed testing, DMARC reports, blocklist monitoring, engagement data, complaint rates, and provider dashboards can all contribute useful evidence. None provides a complete or universal measurement of sender reputation. 

Seed tests show where controlled messages land, not what every real recipient experiences. Blocklists may identify a problem without demonstrating actual impact. Opens and clicks are noisy. Complaint data is incomplete. DMARC reports explain authentication and sending sources, not whether recipients want the mail. 

Use these signals together to build and test a hypothesis. 

For example: 

  • Complaints increased after an audience expansion. 
  • Deferrals began after a volume spike. 
  • Only the second message sent each day is underperforming. 
  • One acquisition source has lower engagement and higher complaints. 
  • One sending domain fails authentication intermittently. 
  • A decline affects Gmail but not other providers. 

Then change one meaningful variable, compare the result with a stable cohort, and preserve a rollback plan. 

That is investigation. Refreshing six unrelated dashboards and hoping they collectively emit a unified prophecy is not. 

Don’t automatically blame Gmail

Mailbox providers do change their systems. They have outages, introduce bugs, adjust thresholds, and occasionally produce results that make even experienced senders stare into the middle distance wistfully. 

But external explanations should come after you examine the causes closest to your own data. 

Before declaring that Gmail changed something, ask: 

  • Did the decline begin at the same time across multiple unrelated senders? 
  • Is it limited to Gmail? 
  • Did your own volume, audience, frequency, configuration, or content change first? 
  • Are other sending streams affected? 
  • Do SMTP responses or Postmaster Tools show a common technical failure? 
  • Can you reproduce the result using a controlled comparison? 

The cleaner your sending practices are, the shorter this investigation becomes. 

If you know your recipients explicitly requested the mail, your acquisition sources are trustworthy, inactive addresses are handled thoughtfully, complaints are monitored, preferences are honored across streams, and your technical configuration is sound, you can eliminate enormous portions of the troubleshooting tree. 

It is normal to wonder what people think of you. But if you consistently behave with consideration, you spend less time worrying that everyone secretly hates you. 

Sender reputation works much the same way. 

Behaving well cannot prevent every technical failure or receiver-side problem. It does mean that when something breaks, you can focus on finding the break instead of reconstructing whether the relationship was healthy in the first place. 

The colors are gone but the evidence remains 

Losing Gmail’s reputation charts removes a familiar shorthand. It does not leave senders powerless, and it does not make reputation completely unknowable. 

Your recipients are already telling you what they think through their complaints, engagement, unsubscribes, and silence. Your infrastructure is telling you what happened through authentication results, deferrals, and rejections. Postmaster Tools v2 adds Gmail’s interpretation through compliance and diagnostic insights. 

You do not need another mood ring. 

You need to notice what changed, listen to what recipients are doing, and investigate the evidence in front of you. Because learning about your reputation a few days later is like asking, “Did they like my email?” after you saw a low open rate. You already have the answer! Your next step is figuring out what to do about it.
